Procurement
Sourcing and Procurement of Equipment/Textbooks.
One of the important functions of the Office is to arrange, source and procure various orders and essential items as requested by the Universities in Ghana. The bulk of these procurements involve small items of equipment, certificates, and laboratory chemicals for teaching/research materials and for the award of degree/diploma certificates. Funds for these items are normally transferred to the London Office for payment. In some rare and emergency cases the London Office is called upon to pre-finance the purchase to be reimbursed later. This policy is however depended upon availability of funds at the London Office. The procurement arrangement enables the London Office to carry out due diligence on the identified supplier or manufacturer of the order before payments are made to the manufacturer/supplier in respect of the following:
That the supplier has good track record in the industry.
That the supplier has good client/customer base.
That the supplier has a recognised and verifiable operation address.
That the supplier is still trading and can supply the required items/order in the appropriate specifications.
That a contact person e.g. Export/Customer Accounts Manager can be identified who will ensure that the sale is successfully completed and goods are despatched/air freighted directly to the clients in Ghana, thereby saving the VAT on the order/items.
